We process requests to correct, amend, or delete inaccurate corporate client account information unless legal or business requirements dictate otherwise. Because our software operates primarily on our clients’ independent infrastructure, we do not have direct access to our clients’ underlying customer data. All regulatory requests regarding such data must be handled independently by the client utilizing their own system controls.

We implement physical, technical, and organizational safeguards—including encryption, firewalls, and intrusion detection—to protect your electronic data. Depending on the service used, your information may be securely stored on our cloud-hosted infrastructure (such as Microsoft Azure), our integrated website management systems, or secured on local servers at our Florida corporate office.

Financial Transactions

All payments are handled through secure third-party gateways. We do not store raw credit card numbers. We retain only non‑sensitive transaction metadata for- such as your billing address and contact information, order history, and subscription status— for order fulfillment, digital access, subscription and account management, and tax compliance.

Mobile Apps & Cloud Services

Most data used in our software is stored locally on your device. Some of your customers’ information may pass through our services due to the nature of the service we provide to you. When handled for technical support or account management, we do not scrape or share this data. Temporary cloud-hosted report files are purged periodically, and you can minimize identifiable data by using our default generic job numbering system.

We do not scrape, share, or use your customer information in uploaded troubleshooting files. Temporary cloud-hosted report files are purged periodically. Because data processed through these automated cloud features is bound to the client’s file architecture, we cannot selectively remove individual end-customer data embedded within files. Clients are responsible for utilizing our default generic job numbering system to minimize identifiable data before utilizing cloud or support services.

Mobile app logins are based on credentials created in the desktop software; no new login data is generated or collected by the mobile apps.

YOUR ROLE & RESPONSIBILITIES (DATA PROCESSING)

When handling your business files and customer records, we act strictly as a data processor. This means we handle, transfer, and secure files entirely on your instructions, but we do not control or own that data. Our primary role is to secure the efficient management of the data on your behalf.

Our clients act as data controllers. As a client, you are solely responsible for determining how your data is used and ensuring compliance with the local privacy laws and regulations of your specific jurisdiction. We are not liable for client non-compliance.

Third-Party Connections & Sites: Our website may link to external sites, and our clients may choose to connect our platform to third-party applications (such as tools for emailing, scheduling, or report delivery). We are not responsible for the privacy practices, data security, or performance of these external systems. We strongly recommend that clients review those third-party policies directly in the course of handling their customers’ data.

YOUR CHOICES & CONTROLS

Email Communications: You can unsubscribe from communications using the instructions at the bottom of our messages. We kindly ask that you use this method rather than marking our emails as spam, as the automated systems often obscures your identity and prevents us from manually removing you.

After opting out, our policy is not to send you email, unless you initiate communication or submit a form or other item on our website that automatically generates a response. Opting out may limit your ability to receive product updates or upgrade notices or product delivery, though transactional or service‑related communications may still be required.

International Cross-Border Transfers: Our company is based in the United States, and our services utilize a combination of on-premise infrastructure and decentralized cloud architecture. If you access our platform or engage our support team from Canada, Australia, or New Zealand, you acknowledge that your corporate account data and system-generated technical logs may be transferred to, stored, and processed in the United States or other global cloud server regions.
